Submit your list of reserve books and videos 7 days in advance of the first day of classes, and our staff will pull these books from the library stacks for you. After that 7-day window, you will need to pull your own reserve books and videos.
In a future semester, we may be able to pull journals as well, but for now, staff time permits time only to pull books and videos.

Please continue to bring photocopies of journal articles, book chapters, sample exams, etc., plus personal copies of books, videos, etc., to the Circulation/Reserves Desk, with an accompanying Regular Reserves Request Form.
It is a great help to the Reserves staff if you bring all materials for a course at one time.
Materials from other William and Mary libraries may be placed on reserve at Swem Library by listing them on your reserve form. Please be sure to indicate their locations. The Reserves staff will retrieve these items from those other libraries and place them on reserve.

If an item you wish to place on reserve is checked out to another person, please ask the Reserves staff to recall it. If you are unable to find an item that should be on the shelf, please ask the Reserves staff to search for it. List items to be recalled or searched on your reserve form.
The status of items which are being searched or recalled changes daily. We will notify you as soon as possible as each change occurs. To check your reserves list online, go to the library's online catalog and click on the Reserve Desk button.
If a book you wish to place on reserve is not owned by Swem, you may ask your department's library representative to order a copy for the library. Or you may contact the library's Collections Development division at 757-221-3119 or submit a New Material Purchase Suggestion to order a copy and charge it to your department. Please remember, however, that even rush orders can take several weeks.
Please make photocopies of specific articles to place on reserve and bring them in with your reserves form. Whole periodicals, either bound or unbound, which belong to Swem Library may not be placed on reserve. Photocopies may be placed on 2-hour loan only because they are relatively fragile and are, therefore, likely to show some wear and tear if taken from the library or returned through an outside book return.
If there are many students in a class, the library will place on reserve up to three copies of a photocopied item.
If you wish to place a journal article on reserve and that article is not available at any local library, the Swem Interlibrary Loan staff (757-221-3089) will assist you in obtaining a copy.
Personal copies of books and other materials may be placed on reserve. Bring personal copies to the Circulation/Reserves Desk with your reserve form.
For your protection, a security device will be placed in every personal copy placed on reserve. Also, for processing and identification, labels may be attached to the personal copy. Because personal copies of books placed on reserve receive heavy use by many different people, they may show some signs of wear from usage.
Copies of the Regular Reserves Form form are available by clicking on the links above, at Swem Library's Circulation/Reserves Desk, or by calling the Circulation/Reserves Desk at 757-221-3072. On your reserve form please include the following information: call number, author, title, and -- if needed -- edition. If possible, also indicate for how long (i.e., through which semester) we should keep these items on reserve.
For Fastest Service: please print these titles from the library's online catalog and attach the printed pages to the Regular Reserves Request form.
At the end of each semester, Reserves staff will (1) send you a list of all of your reserve items, showing how many times they were checked out; and (2) ask you to complete a Reserves Retain/Remove Form to indicate which items should be retained for the next semester or removed from reserves.
Copyright clearances may be needed to use materials beyond one semester.

Faculty members may check out their own courses' reserve materials for longer loan periods of time than specified. If faculty wish to check out reserve materials that are on another professor's reserve list for longer than the specified loan, they must obtain written permission from that colleague.
