What are recalls?

Students, faculty, and staff at the College of William & Mary may request a recall of any book (not on reserve) that is currently checked out to another patron (including faculty members). Videos, including DVDs, VHS tapes, and laser discs, may have recalls placed only by patrons with faculty privileges or with the permission of a faculty member.   The video recall permission form may be dowloaded here (VHS Checkout and Video Recall Permission Form) or obtained at the Circulation Desk.

Items may have different recall turn-around times depending on the type or the status of the item.

Books:

- A book checked out for less than 12 days will have the due date altered so that the item is due back seven days after the initial 12 day loan period ends.

 

- A book checked out for at least 12 days will have the due date altered to seven days from the date the recall was placed.

- A book recalled for the Reserve Desk will be due within seven days from the date the recall was placed regardless of how long the patron has had the item.

- If a recall is placed less than seven days before a book’s due date, the original due date will be retained.

- If a recall is placed on a book that is already overdue, the recalled due date will be the next day.

Videos:

- Videos recalled on Monday through Thursday will be due back the day after the recall is placed.

- Videos recalled on Friday through Sunday will be due back the following Monday.

- If a recall is placed on the day that a video is due or on a Friday for a video that is due back on the following weekend, the original due date will be retained.

-If a recall is placed on a video that is already overdue, the recalled due date will be the same day.

-Only patrons with faculty privileges may place recalls; however, students needing videos for academic purposes or special projects may recall items with the express written approval of a W&M faculty member.  The video recall permission form may be dowloaded here (VHS Checkout and Video Recall Permission Form) or obtained at the Circulation Desk.

General:

-All overdue recalled items carry fines of $1.00 per day with a maximum of $20.00.

-A recall due date that would fall on a day that the library is closed will extend to the first following open day for books and the first open weekday for videos.

Where do I go to pay my fines?

Bills can be paid in person at the Circulation desk by cash, check or William & Mary Express.  The library does not accept credit or debit cards. Checks must be made out to The College of William & Mary.  Please note that the Circulation desk stops accepting payments one hour before the Circulation desk is scheduled to close.

How much time do I have to pay fines?

Bills should be paid within 30 days.  If a bill remains on a patron's library account past 30 days, a restrictive hold (Library Block) will be placed on his or her William & Mary account barring them from registration, getting transcripts, graduation, and other College-wide privileges until the account is settled. Please note that patrons must pay a bill in full to get a restrictive hold removed from their W&M account.  Partial payments will not be accepted.  Bills that remain unpaid after 30 days may be referred to the Bursar's Office at any time for collection. 

When items are delinquent (overdue) for at least 30 days, a Library Block will be placed on the patron's account.  If the item is not returned or paid for within approximately 90 days of the due date, the patron's account will be billed for the item and referred to the Bursar's Office for collection.

Effective as of December 2008, patrons who have items on their accounts that are approximately 90 days overdue will incur an additional fee of ten dollars per item when they are sent over to the Bursar's Office for collection.  This ten dollar fee is nonrefundable but will go toward the twenty dollar processing fee if a patron has lost or damaged the item and must pay for replacement costs.

The aforementioned payment timelines do not apply to graduating students, who must satisfy their fines and fees in a timely manner before leaving the College.  For more information, please see below.

What if I'm graduating?

Graduating students must clear all financial obligations to the College before they graduate.  This includes any fines or fees the graduating student may have incurred at Swem Library.  Failure by the graduating student to clear their financial obligations to Swem Library in a timely manner may result in a Library Block which would keep the student from graduating and requesting transcripts.

What are the charges for lost or damaged materials?

The standard replacement fee for items is the list or market price of the item plus a $20.00 non-refundable fee and any overdue fines the patron may have incurred.  In some rare instances, the library may charge a patron a flat rate of $180.00 per item instead of the list or market price.  When this happens, the patron has the right to request that the library adjust the bill to reflect the list or market price for each item and not the flat $180.00 replacement fee.
